Policy versions separate working text and assessments from reviewed copies. Open the policy's version button to inspect the available history and actions.
Prepare a version
From the latest version, choose New minor version or New major version. The confirmation shows the proposed number and source copy. Choose Create version only after reviewing them.
The new version starts as a Draft. Naming or renaming it changes a human label, not the version number. Review pending content and control edits before starting a workflow transition.
Submit and decide
Choose Send for approval and confirm the request. The version enters In review and ordinary editing is locked while the approval is outstanding.
Eligible approvers can Approve or Reject, with a decision comment where offered. Approval preserves the reviewed copy. Rejection archives the version; prepare a new version to address the feedback. Return to editing withdraws a pending request when the action is available.
The result depends on the configured workflow. Review the updated status and recorded decision after each action; opening a confirmation does not execute it.
Configure the workflow
Use Settings → Approvals for policy version approval. Review enforcement, the approver role and whether one or all eligible approvers must decide. Maintain role membership under Settings → Members and Roles.
Confidential-details access governs version-management and assessment tools in addition to Policy Management permissions. Policy viewers receive the restricted reading experience rather than unrestricted access to internal version history.
Read or delete history
Select an earlier version for reference where your access permits it. Historical, approved and in-review content is read-only for ordinary edits.
Historical-version deletion requires the available action and confirmation. Check the version number and retention needs before permanently removing its contents. Deleting a historical version is separate from requesting deletion of the entire policy.
